Privacy Policy

This Privacy Policy explains what personal information Tasks2Trust collects from you, why we collect it, how we use it, who we share it with, and what choices and rights you have. We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

1. Who we are

Tasks2Trust ("we", "us", "our") is a Melbourne-based referral service operated by Indi Serafin, an ABN-registered sole trader operating in Victoria, Australia. We connect residential homeowners with vetted, licensed HVAC installers.

2. What information we collect

We collect personal information that you provide to us directly through our website, phone, email, SMS, or in person. The categories of information we collect include:

Information you give us

  • Contact details: name, phone number, email address.
  • Property information: installation address, suburb, postcode, property type (house, apartment, etc.).
  • Service details: type of HVAC installation requested, project timeline, scope notes, photos you choose to share, quote acceptance status.
  • Payment details: bank transfer reference, deposit invoice records. We do not store credit card numbers or bank account details — payments are made directly via your bank.
  • Communication records: emails, SMS, and call notes between you and Tasks2Trust.

Information collected automatically

  • Technical data: when you visit our website, our hosting provider (Cloudflare) logs basic technical information including IP address, browser type, device type, and pages visited. This is used to keep the site running and protect against attacks.
  • Cookies: our website does not currently use third-party analytics or advertising cookies. Some essential cookies may be set by our hosting provider for security and basic functionality.

3. How we use your information

We use your personal information only for the following purposes:

  • To respond to your enquiry and match you with a suitable HVAC installer in our network.
  • To share necessary job details (name, contact, address, scope) with the assigned installer so they can quote and perform the work.
  • To issue and process the 10% deposit invoice and record your payment.
  • To follow up on quote progress, installation scheduling, and quality assurance.
  • To resolve any complaints or disputes about installation work.
  • To comply with our legal and tax obligations.
  • Occasionally, to contact you about your previous enquiry if a relevant tradie or service becomes available, but only where you have not asked us to stop.

We will not use your information for marketing by third parties. We will not sell, rent, or trade your personal information.

4. Who we share your information with

We share your personal information only with parties who need it to deliver the service you've asked for:

  • Vetted HVAC installers in our network: we share your name, phone, email, installation address, and scope of work with the installer assigned to your job. Every installer in our network is bound by a written agreement requiring them to handle your information confidentially and in compliance with the Privacy Act.
  • Service providers we rely on: our website hosting (Cloudflare), our form-handling service (Web3Forms), and our email provider (Google). These providers may store data in jurisdictions outside Australia (typically the United States). They are bound by their own privacy obligations and contractual protections.
  • Government, regulatory, or legal authorities: if required by Australian law, court order, or to protect our rights.

We do not share information with marketing partners, advertisers, or data brokers.

5. How long we keep your information

We retain personal information for as long as needed to provide the service and meet legal obligations, generally:

  • Enquiry data (no booking proceeded): retained for up to 24 months from your last contact, then deleted.
  • Completed job records: retained for 7 years from job completion, as required by Australian tax and consumer protection laws.
  • Tradie agreement records: retained for 7 years after the agreement ends.
  • Technical/security logs: retained by our hosting provider for up to 90 days.

6. How we protect your information

We take reasonable steps to protect your personal information from misuse, loss, unauthorised access, modification, or disclosure. Our protections include:

  • HTTPS encryption on all website pages and form submissions.
  • Strong, unique passwords with two-factor authentication on all admin accounts.
  • Restricted access — only Indi Serafin handles customer data.
  • Secure email accounts with built-in protection against unauthorised access.
  • Vetting and contractual confidentiality obligations on every installer in our network.

If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC), as required by the Notifiable Data Breaches scheme.

7. Your rights

Under Australian privacy law, you have the right to:

  • Access the personal information we hold about you.
  • Correct information that is inaccurate or out of date.
  • Request deletion of your personal information, subject to our legal record-keeping obligations.
  • Withdraw consent to further use of your information for non-essential purposes.
  • Complain about how we have handled your information.

To exercise any of these rights, email tasks2trust@gmail.com. We will respond within 30 days.

If you are not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or call 1300 363 992.

8. Cookies and tracking

Our website does not currently set marketing or analytics cookies. Some essential cookies may be set by Cloudflare for security and basic site functionality. If we introduce analytics or tracking in the future, we will update this policy and add a cookie consent banner.

9. Children's privacy

Our services are intended for adults aged 18 and over. We do not knowingly collect information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will reflect any changes. Significant changes will be communicated to active customers by email.

Terms of Service

These Terms govern your use of Tasks2Trust and the referral service we provide. By submitting an enquiry, accepting a quote sourced through us, or paying a Tasks2Trust deposit invoice, you agree to these Terms.

1. About Tasks2Trust

Tasks2Trust is a referral service. We connect Melbourne residential homeowners ("you", "the customer") with vetted, licensed HVAC installers ("installers", "tradies"). We do not perform installation work ourselves. The actual installation is performed by an independent installer under a separate contract between you and that installer.

Tasks2Trust is operated by Indi Serafin, an ABN-registered sole trader based in Melbourne, Victoria, Australia.

2. How the service works

The process is:

  • You submit an enquiry on our website, by phone, or by email.
  • We match your enquiry with a suitable installer in our network.
  • The installer contacts you within 24 hours and provides a written, no-obligation quote.
  • If you accept the quote, Tasks2Trust sends you a tax invoice for a deposit equal to 10% of the quoted job value (excluding GST). This deposit secures your installation date and is payable to Tasks2Trust by bank transfer.
  • Once your deposit clears, the installer proceeds with the job.
  • On installation day (or as agreed with the installer), you pay the remaining 90% of the job value directly to the installer.

3. The deposit

The 10% deposit you pay to Tasks2Trust:

  • Is a tax invoice and will be itemised in writing.
  • Secures your installation slot with the assigned installer.
  • Represents the Tasks2Trust matching, vetting and coordination fee.
  • Is paid directly to Tasks2Trust, not to the installer.

The remaining 90% of the job value is paid directly to your installer, who will issue their own invoice for the balance.

4. Refund policy

If you cancel

The deposit is fully refundable if you cancel at any point before the day of installation. To cancel, email tasks2trust@gmail.com as soon as possible. Refunds will be processed within 5 business days of cancellation, to the bank account the deposit was paid from.

If you cancel on or after the day installation is due to commence, the deposit is non-refundable. This is because the installer has been blocked out for your job and cannot easily fill that slot at short notice.

If the installer cancels or cannot deliver

If the installer assigned to your job cancels, is unable to perform the work, or fails to attend without reasonable notice, you may choose either:

  • A full refund of your deposit, processed within 5 business days; or
  • To be rematched with another installer in our network at no additional cost. Your deposit transfers to the new installer's job.

Australian Consumer Law

Nothing in these Terms excludes, restricts or modifies any right or remedy you have under the Australian Consumer Law (Schedule 2 of the Competition and Consumer Act 2010). You are entitled to a refund or replacement for major service failures, including where the service is not delivered as agreed, contains a major defect, or is significantly different from how it was described.

5. Quality guarantee

Every installer in the Tasks2Trust network has been personally vetted for licensing, insurance, workmanship, and reliability. If something isn't right with your installation:

  • Contact Tasks2Trust at tasks2trust@gmail.com or 0490 054 130 within a reasonable time of becoming aware of the issue.
  • We'll work with the installer to investigate and rectify the issue at no additional cost to you.
  • The installer is responsible for honouring their workmanship warranty and the manufacturer's warranty on the unit installed.
  • If an issue cannot be resolved, Tasks2Trust may remove the installer from our network and assist you in escalating the matter.

6. Your obligations

By using Tasks2Trust, you agree to:

  • Provide accurate and complete information when submitting your enquiry.
  • Be present at the installation address (or have an adult representative present) on the day of installation, to provide access and approve any minor adjustments.
  • Disclose any known site-specific risks (asbestos, structural issues, access limitations) before the installer attends.
  • Pay the deposit to Tasks2Trust on or before the agreed due date.
  • Pay the balance directly to the installer in accordance with the installer's invoice and payment terms.
  • Treat the installer professionally and provide reasonable access to perform the work.

7. Tasks2Trust's role and limits of liability

Tasks2Trust acts as a referrer and coordinator. Specifically:

  • The contract for the installation work is between you and the installer, not between you and Tasks2Trust.
  • The installer holds their own licences, insurance, and statutory warranties.
  • Tasks2Trust is not the employer, partner, or agent of any installer.
  • Tasks2Trust does not guarantee any specific outcome, timeline, or warranty terms beyond those contained in the installer's own quote and contract.

To the maximum extent permitted by law, Tasks2Trust's total liability to you under or in connection with these Terms is limited to the amount of the deposit you have paid to Tasks2Trust for the relevant job. This limitation does not apply to any rights you have under the Australian Consumer Law.

8. Intellectual property

The Tasks2Trust name, logo, website content, and brand are owned by Tasks2Trust. You may not copy, reproduce, or use these for any commercial purpose without our written permission.

9. Use of the website

You agree to use the Tasks2Trust website lawfully and not to:

  • Submit false or misleading information.
  • Attempt to access non-public areas of the site or any systems we use.
  • Use automated tools to scrape, copy, or submit data.
  • Interfere with the security or operation of the site.

10. Termination

We reserve the right to refuse service, decline an enquiry, or terminate access to the Tasks2Trust service at our discretion, particularly where there is reasonable suspicion of fraud, abuse, or breach of these Terms.

11. Changes to these Terms

We may update these Terms from time to time. The "Last updated" date at the top of this page will reflect any changes. The version of the Terms in effect at the time you submitted your enquiry continues to apply to that enquiry. New enquiries are governed by the current version of the Terms at the time of submission.

12. Governing law

These Terms are governed by the laws of the State of Victoria, Australia. Any disputes will be subject to the exclusive jurisdiction of the courts of Victoria.

13. Dispute resolution

If you have a complaint or dispute, please contact us first at tasks2trust@gmail.com so we can attempt to resolve it directly. If we cannot resolve it, you may seek mediation through the Resolution Institute, lodge a complaint with Consumer Affairs Victoria, or pursue any other remedy available under Australian law.

Terms Quick Summary

You pay Tasks2Trust 10% upfront to lock in your installer. You pay the installer the other 90% on the day. Cancel anytime before install day for a full refund. After install day starts, the deposit is non-refundable — except where Australian Consumer Law protects you (defects, no-shows, misleading conduct, etc.). The actual contract for the install is with the installer, not us — but we'll back you up if anything goes wrong.
